Mastering Kanban Boards

February 15, 20267 min read

Kanban boards are one of the most effective ways to visualize your workflow. Originally developed by Toyota for manufacturing, the Kanban method has been widely adopted by software teams worldwide. Here is how to make the most of Kanban boards in TaskMaster.

The Three Default Columns

TaskMaster starts you with three columns: To Do, In Progress, and Done. These represent the basic lifecycle of any task. As work progresses, simply drag cards from left to right. This simple visual gives your entire team instant insight into project status.

Work-in-Progress Limits

One of the most powerful Kanban principles is limiting work in progress (WIP). When your In Progress column has too many items, it is a signal that your team is context-switching too much. Try limiting each person to 2-3 active tasks at a time for maximum focus and throughput.

Using Priority Levels Effectively

TaskMaster supports four priority levels: P1 (Critical), P2 (High), P3 (Medium), and P4 (Low). Use P1 sparingly for true emergencies. Most tasks should be P3, with P2 reserved for important deadlines. This keeps your board scannable at a glance.

Drag-and-Drop Tips

Use the grip handle on each card to drag tasks between columns. Tasks maintain their order within a column, so you can arrange them by priority. The drag overlay shows a preview of the card, making it easy to see what you are moving.

Keyboard Shortcuts

Press Cmd+K to open the command palette for quick task creation and navigation. Use the filter bar to show only tasks assigned to you, or filter by priority level. These shortcuts can save you hours each week.
